This Privacy Policy explains how we collect, use, protect, and share your information when you visit www.relationshipsreimagined.com or engage with our coaching services, officiant services, organizational services, retreats, events, digital resources, Profiles, questionnaires, intake forms, reflection responses, and related digital tools.

This Privacy Policy describes how Relationships Reimagined® collects, uses, shares, protects, and retains personal information. Submitting information through this website does not establish a coaching relationship. A coaching relationship begins only after services are formally agreed upon.

1. Information We Collect

We collect information you provide directly, including name and email address, phone number, mailing address when needed for services or event participation, payment information processed securely through third-party providers, information submitted through intake forms, questionnaires, Profiles, scheduling tools, or contact forms, responses submitted through The You Profile™, The Us Profile™, The Team Profile™, The Quick Portrait Finder™, and related tools along with reports generated from those responses, partner information provided for couples or premarital coaching, emergency contact information, details shared during coaching sessions, consultations, officiant planning, organizational services, retreat registration, or event participation, and messages submitted through our website or communication channels.

We may also collect technical data automatically through cookies and analytics tools, including IP address, browser type and device information, pages visited and actions taken on the website, general location data such as city or region, and website usage patterns. This information helps improve functionality and user experience.

Some Profiles, intake forms, or open-ended responses may contain sensitive or highly personal information depending on what the participant chooses to provide, including information concerning sexuality or sexual activity, physical or mental health, religious beliefs, financial circumstances, or relationship difficulties.

Where required by applicable law, we obtain consent before processing sensitive personal information.

We may also generate information from your submitted responses, including Profile scores, classifications, Portrait results, Connection Style results, narrative summaries, and comparative findings. This generated information is treated as personal information about you.

2. How We Use Your Information

We use your information to provide coaching, officiant services, organizational services, retreats, events, and related resources; deliver digital products, Profiles, and coaching materials; schedule and manage appointments through Wix Bookings; process payments through secure third-party providers; communicate with you regarding services using Wix tools; send updates, newsletters, or promotional communications when you opt in; improve website functionality and user experience; maintain internal records and support business operations; and protect the safety, integrity, and security of our services.

You may unsubscribe from marketing communications at any time. We do not sell or rent your personal information.

3. Sharing Your Information

We only share your information with trusted service providers when necessary to operate our business, including Wix for website hosting, forms, bookings, and communication tools; payment processors connected through Wix for secure transactions; analytics tools used to understand website performance; email delivery and communication providers; video conferencing platforms used for virtual sessions; customer relationship management (CRM) and scheduling tools; cloud storage and automation providers used to operate our services; and artificial intelligence providers used to support Profile and report generation, described further below. These providers are expected to use your information only as needed to perform their services and to maintain appropriate security measures.

We may also disclose information when required by law or when necessary to comply with legal obligations, protect our rights or property, or protect the safety of clients or others.

4. Coaching Information and Confidentiality

Information shared through coaching intake forms, Profiles, and coaching sessions is treated with care and respect. However, coaching is not therapy and does not carry the same legal privilege as licensed counseling or psychotherapy.

We treat coaching information as private as a business practice, subject to disclosures authorized by you, required by applicable law, reasonably necessary to protect rights or safety, or necessary to provide the services.

Communication may occur through email, forms, or virtual platforms. While reasonable safeguards are used, electronic communication carries inherent risks and may not be completely secure. Virtual coaching sessions are conducted using secure platforms when possible, though no online platform can guarantee complete security.

Coaching services are intended to support growth and development. Results are not guaranteed and will vary based on each individual's participation, effort, and circumstances.

5. AI-Assisted Processing

Relationships Reimagined® uses artificial intelligence technology, including services provided through OpenAI's API, to support certain features of our Profiles and digital tools. AI may be used to help organize, analyze, and generate personalized written content from information you provide.

Information processed through these systems may include questionnaire responses, open-ended responses, Profile-related context, and other information necessary to produce the report or feature you requested.

When information is transmitted to an AI service provider, it is shared only as necessary to provide the applicable functionality. OpenAI states that data submitted through its API is not used to train or improve its models by default.

OpenAI may retain API inputs and outputs for up to 30 days for service operation, safety, and abuse monitoring, subject to the configuration of the API services used and any applicable data-retention controls.

Relationships Reimagined® does not use AI-generated content to make clinical diagnoses or other automated decisions with legal or similarly significant effects. AI-generated material is used as part of our educational and developmental tools and should be understood within that context.

We evaluate the privacy and security practices of the technology providers we use and may update our providers as technology and our services evolve.

6. Profile Information and Shared Reports

Some Profiles are designed to combine information from more than one participant. The Us Profile™ uses information provided independently by both partners to create a shared relationship report. The Team Profile™ may use participant responses to create de-identified team-level findings that are shared with participating team members and, where applicable, a designated facilitator or leader. Individual Reflection materials are separate from the shared Team Report.

Team-level findings are reported in aggregated or de-identified form when applicable confidentiality thresholds are met. These findings are intended to describe patterns across the team rather than identify individual participants. In smaller groups, some team-level reporting may be limited or withheld when there is a reasonable risk that a participant could be identified from the information presented.

7. Payment Information

Payments are processed through secure third-party payment providers connected through Wix. Relationships Reimagined® does not store full credit card numbers on its own servers. Payment information is handled in accordance with the payment processor's security standards.

8. Cookies and Tracking Technologies

We use cookies and similar technologies to improve website performance, understand how visitors interact with the site, and enhance user experience. You may adjust your browser settings to disable cookies, though some features of the site may be limited as a result.

9. How We Protect Your Information

We take reasonable administrative, technical, and organizational measures designed to protect personal information, including SSL encryption on our website, use of Wix-hosted tools for forms, bookings, and communications, secure payment processing through third-party providers, and limiting access to personal information to authorized individuals who need it for business purposes. While we take reasonable precautions, no method of transmission or storage can guarantee absolute security.

You may request to access the personal information we have about you, update or correct your information, request deletion of your information where applicable, or opt out of marketing communications.

Where provided by applicable law, you may also have rights to portability, to withdraw consent, to opt out of targeted advertising, sale, or sharing, to non-discrimination for exercising your rights, and to appeal a denied request. 11. Data Retention

We retain personal information only as long as necessary to provide services, maintain business and financial records, comply with legal obligations, and resolve disputes and enforce agreements.

We retain different categories of information for different periods, based on service delivery needs, support and account records, contractual and legal obligations, the sensitivity of the information, and any deletion request you make. This may include Profile source responses, generated reports, session and client records, transaction and accounting records, marketing records, and contact inquiries.

12. Children's Privacy

Our Profiles and services are intended for adults age 18 and older. We do not knowingly collect personal information from individuals under 18 through our Profiles or knowingly provide Profiles or services directly to minors. If we learn that personal information from a minor has been submitted to us, we may delete that information as appropriate.

If Relationships Reimagined® later introduces services specifically designed for minors or youth organizations, we will update our privacy practices and applicable notices before offering those services.

13. International Visitors

If you access this website from outside the United States, you understand that your information may be processed and stored in the United States, where privacy laws may differ from those in your jurisdiction.

Relationships Reimagined® currently operates primarily within the United States. If that changes, this section will be updated to reflect any additional obligations that apply.

We may update this Privacy Policy from time to time. Any changes will be posted on this page with an updated effective date.
